Privacy Policy

KWC Drivers (“we”, “us”, “our”) respects your privacy. This policy explains, in plain English, what personal information we collect, why we collect it, who we share it with, and the choices you have.

We follow the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy law.

1. What we collect

You give us directly when you book or contact us:

  • Student and parent or guardian name
  • Email address and phone number
  • Mailing address (for receipts and BDE registration)
  • Date of birth and G1 licence number (required by the MTO for BDE certification)
  • Preferred lesson dates and pickup location
  • Anything you write into a contact or enquiry form

Payment information:

  • Card payments are processed directly by Stripe. We never see or store your full card number, CVV, or expiry. We only receive a confirmation, the last four digits, and the card brand.
  • For Interac e-Transfer or cash, we record the amount, date, and reference number.

Automatically collected when you visit kwcdrivers.com:

  • IP address, browser, and device type
  • Pages you visited and the referring URL
  • This is collected through Cloudflare Web Analytics, which is cookieless and does not build a profile across sites.

We do not use Google Analytics, Facebook Pixel, or advertising trackers.

2. Why we collect it

We use your information only to:

  • Schedule, deliver, and reschedule your lessons
  • Process payments and issue receipts (HST-compliant invoices)
  • Submit your BDE completion to the Ontario Ministry of Transportation (MTO)
  • Send booking confirmations, lesson reminders, and service emails through Resend
  • Reply to questions you send us
  • Keep records the MTO and the Canada Revenue Agency require us to keep
  • Investigate safety incidents or insurance claims
  • Improve our services in aggregate (no individual profiling)

We do not sell your personal information. We do not share it for advertising.

3. Who we share it with

We share the minimum information needed with these service providers:

When we use a US-based provider your information may be processed outside Canada and may be subject to the laws of that country. We choose providers that publish strong security and privacy commitments.

4. Cookies

We use only the small number of essential cookies needed to keep our site, checkout, and admin tools working. We do not use advertising or cross-site tracking cookies. Our analytics provider (Cloudflare Web Analytics) is cookieless.

5. How long we keep your information

  • Booking and student records: kept indefinitely as part of your service history, so we can answer future questions about your BDE certification or proof of completion.
  • Payment records: kept for at least 7 years to meet CRA tax obligations.
  • BDE records: kept for at least 7 years so we can replace lost certificates and respond to MTO audits.
  • Email enquiries that do not become bookings: kept up to 24 months.
  • Server logs and analytics: kept up to 30 days.

You can ask us to delete information sooner; see section 7.

6. Children and minors

You must be at least 16 years old and hold (or be eligible to apply for) a valid Ontario G1 licence to book your own lessons with us. If you are under 16, a parent or legal guardian must complete the booking and provide consent for us to collect and use your information.

We do not knowingly collect personal information from children under 13.

7. Your rights

Under PIPEDA you have the right to:

  • Access the personal information we hold about you
  • Correct anything that is inaccurate or out of date
  • Delete information that we no longer need (subject to MTO, CRA, and insurance retention requirements above)
  • Withdraw consent for non-essential communications at any time
  • Lodge a complaint with us, and if not satisfied, with the Office of the Privacy Commissioner of Canada (priv.gc.ca)

To make a request, email contact@kwcdrivers.com with the subject “Privacy Request”. We will respond within 30 days. We may ask for ID to verify your identity before releasing information.

8. Security

We protect your information with TLS encryption in transit, restricted-access admin tools, strong passwords, and reputable hosting and payment partners. No system is perfectly secure, but we treat your data with the care we would want for our own.

9. Marketing

We send transactional emails (booking confirmations, reminders, receipts) because they are necessary to deliver your service. We do not add you to marketing lists without your separate, opt-in consent. You can unsubscribe from any marketing email at any time.

10. Changes to this policy

We may update this policy from time to time. The “Updated” date at the top shows the current version. Material changes that affect active students will be communicated by email.
